The Senior Program Specialist is a highly skilled individual contributor responsible for executing and coordinating key initiatives within the Population Health Impact team. This role supports departmental goals by managing project workflows, tracking cross-functional tasks, and fostering seamless collaboration between teams. Through focused operational support, they facilitate team effectiveness, help execute the department's overall mandate, and provide essential coordination for cross-functional work across the organization.
The ideal candidate is an expert organizer and systematic problem solver who excels at planning, structuring, and supporting departmental processes to drive key outcomes. They are detail-oriented, solution-focused, and able to adapt quickly to changing operational needs. This person will coordinate daily operations and serve as a primary operational point of contact between leadership and various departments. They must possess strong analytical, collaborative, and organizational skills, with a proven background in healthcare or a similar fast-paced environment.
Primary Duties:
Operational Oversight & Team Support: Coordinate, maintain, and streamline processes and workflows to ensure team efficiency and scalability. Manage the team’s centralized resources, including Google Drive, Atlas home page, and day-to-day team operations. Support the VP of Population Health Impact on special projects, data collection, and regular reporting requirements. Plan and coordinate key internal events such as retreats, kick-offs, and team meetings. Manage internal meeting logistics and documentation for the APAC, Steer Co, and Data workgroups. Serve as the primary point of contact for vendor onboarding, tracking, and communication for the team.
Project & Process Management: Apply sound project management principles to a range of special projects and cross-functional tracks to support operational excellence. Facilitate regular scrum tracking, support sprint planning, and assist the team in maintaining momentum. Develop, update, and maintain process documentation, standard operating procedures (SOPs), and training materials to support team continuity and success.
Strategic Implementation: Support the execution of critical, cross-functional initiatives to help achieve company performance metrics and goals. Assist in the design, generation, and implementation of key operational reports.
Cross-Functional Collaboration: Foster connectivity and collaborate effectively across different departments, including business development, clinical teams, and centralized support. Coordinate communication efforts for key initiatives, ensuring accuracy, clarity, and alignment across teams. Support team engagement efforts by serving as a resource for AI tool utilization and arranging relevant learning and development opportunities.
Minimum Qualifications:
Bachelor’s degree required, Master’s degree preferred.
5+ years of professional experience, with experience in healthcare required and an understanding of value-based care preferred.
Strong project coordination skills with the ability to handle multiple priorities and ongoing deliverables simultaneously.
Ability to quickly adapt to last-minute tasks and adhere to hard deadlines.
Demonstrated ability to work independently, take initiative, and reliably execute tasks to completion.
Exceptional written and verbal communication skills, including the ability to present complex information concisely and exceptional attention to detail.
Excellent problem-solving skills, with the ability to anticipate roadblocks and suggest effective solutions.
Experience working in a cross-functional team environment, collaborating with maintaining relationships with multiple stakeholders.
Preferred Qualities:
Solid understanding of project management methodologies (alignment with PMP or LEAN principles preferred).
Proven ability to operate effectively within a rapidly changing, matrixed corporate environment.
Strong background in healthcare operations, process automation, and workflow standardization to improve efficiency.
Proficiency in workflow and communication management tools such as Monday.com, Mailchimp, or Zendesk.
Advanced proficiency in Google Suite, Microsoft Office (Excel, Word, PowerPoint), Canva, and collaborative AI tools.
Strong analytical skills with the ability to leverage operational data to support decision-making.
Ability to work cooperatively and strategically across teams, with the capacity to positively influence peers and stakeholders without direct authority.
