At Instructure, we believe in the power of people to grow and succeed throughout their lives. Our goal is to amplify that power by creating intuitive products that simplify learning and personal development, facilitate meaningful relationships, and inspire people to go further in their education and careers.
We do this by giving smart, creative, passionate people opportunities to create awesome. And that's where you come in:

We are seeking an energetic, strategic Project Manager to join our Marketing team. This role is responsible for leading cross-functional initiatives from concept to delivery, with a heavy emphasis on creative production. You will act as the connective tissue between creative, digital, events, and marketing teams to produce cohesive campaigns and high-impact brand experiences, ensuring every project is delivered on time, on brand, and within budget.

About You:

  • A Master Coordinator: Highly organized and detail-oriented, you thrive in fast-paced, high-stakes environments.

  • A Strategic Communicator: You are a proactive communicator capable of influencing stakeholders and inspiring cross-functional teams.

  • A Collaborative Leader: You build trust easily, foster team accountability, and are relentless about driving results.

Key Responsibilities:

End-to-End Project Leadership

  • Strategic Planning: Develop comprehensive project plans defining scope, objectives, deliverables, timelines, and resource requirements.

  • Cross-Functional Alignment: Lead projects for diverse teams (Creative, Events, Content, Digital Marketing, and external agencies) to ensure milestone alignment and seamless execution.

  • Budget & Profitability: Monitor project budgets and resource allocations to ensure profitability and financial health.

  • Performance Tracking: Use data-driven methods and tools, like Asana, to monitor project progress, optimize workflows, and provide insights into everything from dept-wide plans to team resourcing to individual workloads.

Creative Production & Digital Execution

  • Creative Workflow: Oversee creative production timelines (video, graphics, assets), managing the process from brief and concept through to final approval.

  • Integrated Campaigns: Establish cohesive digital workflows to ensure the successful integration of all program channels and touchpoints, maximizing the impact of multichannel campaigns and ongoing audience engagement.

Governance & PMO Excellence

  • Risk Mitigation: Identify and document project risks; proactively develop mitigation plans and escalate blockers to PMO leadership.

  • Process Optimization: Actively contribute to the development of PMO workflows, templates, and agency best practices.

  • Quality & Brand Standards: Ensure all deliverables adhere to brand guidelines, accessibility requirements, and internal quality benchmarks.

  • Continuous Improvement: Lead "post-mortem" retrospectives to capture lessons learned and apply insights to future project cycles.

  • Asana Platform Governance: Serve as the divisional administrator for Asana; manage workspace architecture, user permissions/onboarding, and build standardized project templates for recurring marketing workflows.

  • Workflow Automation: Design and maintain Asana rules, forms, and tech stack integrations (e.g., Slack, Google Drive) to reduce manual work and streamline cross-functional handoffs.

  • Team Enablement: Establish Asana best-practice documentation ("Team Playbook") and act as the internal subject matter expert to onboard and train the team on new features.

  • Asana Documentation Management: Author and maintain critical process documentation within Asana, including the "Marketer's Guide," "PMO's Guide," and "Agency Team's Guide," to ensure cross-functional alignment and standardized digital workflows.

Qualifications:

  • Experience: 5+ years of project management experience, specifically focusing on marketing campaigns, events, and creative production. Agency experience is highly preferred.

  • Education: Bachelor’s degree in Business, Marketing, Communications, or a related field or equivalent experience. PMP or equivalent certification is a significant plus.

  • Technical Proficiency: Advanced/Expert-level knowledge of Asana, including experience acting as a platform or team administrator (building templates, rules, reporting, and portfolios); familiarity with CMS platforms, digital asset management and creative production workflows.

  • Global Coordination: Experience managing international or remote teams across various time zones.

Preferred Skills:

  • Strong negotiation and conflict resolution skills when managing stakeholders.

  • Familiarity with Agile/Scrum methodologies applied to marketing contexts.
